Talvenmaa – General terms and conditions
Article 1 – Legal Information

Article 2 – Purpose
These general terms and conditions govern the sale of private outdoor activities offered by Talvenmaa – Voyage en terre nordique in Lapland. Any booking implies the client’s full and complete acceptance of these T&Cs.
Article 3 – Services
The services offered include snowmobiling, dog sledding, snowshoeing, and other nature activities led by a guide. Activities are private and adapted for small groups. The client agrees to follow the guide’s instructions and to be in good health compatible with the reserved activities.
Article 4 – Participation Conditions
Participation in activities offered by Talvenmaa – Voyage en terre nordique requires :
- Physical fitness appropriate for the activity,
- Proper cold-weather clothing (not provided),
- Compliance with safety instructions given by the guide,
- No medical contraindications, musculoskeletal disorders, or ongoing pregnancy,
Compliance with specific criteria: for snowmobiling, under 1.40 m (4’7”) sont installés dans un traîneau tracté par le guide, un permis de conduire valide dans le pays de résidence devra être présenté, la consommation d’alcool est strictement interdite. Pour l’activité chiens de traîneau le poids maximum par traîneau est limité à 150kg.
Article 5 – Booking
Bookings can be made via the website, the Fareharbor booking platform, by email, or via the contact form. The company reserves the right to refuse a booking for safety or availability reasons.
The client agrees to follow the guide’s instructions, wear the provided safety equipment, and refrain from consuming alcohol or prohibited substances before and during the activity.
Article 6 – Pricing and Payment Terms
Prices are quoted in euros, including VAT. They cover the guide’s services, necessary activity equipment, and any services specifically mentioned in the description.
Payment is required in full at the time of booking.
Not included: personal insurance, transport to the departure location, and any service not explicitly mentioned.
Article 7 – Cancellation and Refunds
Client Request for Modification or Cancellation:
All requests for cancellation or modification must be submitted in writing by email. The date and time of the email's receipt will serve as official proof for calculating applicable fees.
Cancellation Terms and Retained Fees:
logistical costs incurred upon booking, the following fee schedule applies to cancellations made by the client:
> Cancellation more than 30 days prior to the activity: A fee of 30% of the total booking amount will be retained to cover non-refundable administrative, management, and banking transaction costs. The remaining 70% will be refunded.
> Cancellation less than 30 days prior to the activity: No refund will be issued. The full amount (100%) remains due.
Article 8 – Transport Delays, Weather, and Health Issues
Flight cancellations, delays, missed connections, medical conditions, and any other personal unforeseen circumstances fall under the sole responsibility of the client. No refunds will be issued by Talvenmaa for these reasons.Clients are strongly advised to purchase personal travel/cancellation insurance to cover these risks and seek reimbursement for retained amounts directly through their insurer. Article 9 – Cancellations and Modifications by the Company (Weather Conditions)**
The Arctic climate presents strict, non-negotiable conditions. Talvenmaa reserves the right to modify the itinerary or cancel an activity based on the following safety and animal welfare guidelines:
> Temperatures below -25°C (-13°F): Children are not permitted on tours for thermal safety reasons. An alternative arrangement or rescheduled session will be offered for families.
> Temperatures below -30°C (-22°F): Activities are completely canceled to protect the safety of participants and the health and well-being of the animals.
> Insufficient snow cover (e.g., exceptional thaws, lack of snow): If snow conditions do not guarantee the safety of guests, guides, or animals, or the integrity of the equipment, snow-based activities cannot take place.Clients are strongly advised to purchase personal travel/cancellation insurance to cover these risks and seek reimbursement for retained amounts directly through their insurer.
In the event of a cancellation or inability to run the activity due to these weather, safety, or snow conditions: A rescheduled date or an adapted alternative activity of equivalent value (such as a cani-hike, farm visit, etc.) will be offered as a priority. en priorité.
If no agreement can be reached on a reschedule or alternative, the activity will be canceled. To cover fixed logistical, overhead, and platform costs already incurred by the company to reserve the time slot, a fee of 30% of the total booking amount will be retained. Article 10 – Force Majeure
In the event of exceptional, unavoidable circumstances beyond the control of either party (such as a major health crisis, administrative border closures, or major local network outages) that prevent the execution of the activity, Talvenmaa will issue a credit voucher or offer a date change valid for 12 months. No direct refund may be requested.
Article 11 – Delays and No-Shows
To ensure safety, animal welfare, and strict adherence to departure schedules, participants must arrive 5 to 10 minutes prior to the scheduled start time of the activity. In the event of a delay exceeding 15 minutes, the activity will be considered canceled by the client. No refund or rescheduling will be granted for late arrivals or no-shows.
Article 12 – Property Damage and Excess Fees
The snowmobiles used by Talvenmaa – Voyage en terre nordique are insured in full accordance with Finnish legislation. In the event of damage caused to the vehicle, the client will be held responsible and must pay for the repairs. The maximum amount that can be charged to the client for damage repair (excess/deductible) is 1000 € per snowmobile and per incident. Talvenmaa – Voyage en terre nordique reserves the right to require a credit card pre-authorization or security deposit prior to the start of the activity.
Article 13 – Insurance
Talvenmaa – Voyage en terre nordique has professional liability insurance. Clients must be covered by personal travel insurance including outdoor activity coverage.
Article 14 – Image Rights
During activities, photos and videos may be taken by Talvenmaa – Voyage en terre nordique. These images may be used for communication and promotional purposes (website, social media, commercial materials), unless the client expressly objects. Clients have the right to refuse the use of their image by notifying us in writing before the activity starts. No commercial use of clients’ images will be made without specific authorization.
Article 15 – Applicable Law and Dispute Resolution
These terms and conditions are governed by Finnish law. In case of a dispute, an amicable solution will be sought first. Failing that, the dispute will be brought before the competent courts in Finland.
